Upgrade your multifamily building with room heat pumps

Property owners or managers will be responsible for the product selection (with support from the pilot team), purchase, and installation of the room heat pumps. Property owners will also be responsible for coordination with their tenants on pilot surveys and if property owners choose to participate in equipment monitoring, they will be responsible for coordinating and communicating with tenants.

The pilot team will provide technical guidance to help you determine whether room heat pumps make sense for your building(s).

Minimum: Property owners must install a minimum of 10 room heat pumps to qualify for incentives.

Maximum: Property owners can only receive incentives for up to 50 room heat pumps per property.

To participate in the pilot and receive the incentive payments, you will need to do the following:

• Sign the pilot participation agreement: The pilot participation agreement is required to participate in this pilot and receive incentives. The agreement will be sent to you via Docusign along with your email confirmation that you have been selected to participate in this pilot.

• Upload Tax Forms to a secure SharePoint site: To pay you incentives, we need a copy of your tax forms. Once all of the equipment has been installed, you will receive a secure SharePoint link from the pilot team where you should upload a copy of your tax forms.

  • Note: Please do not send your tax forms via email! Email is not secure!

• Upload your equipment invoice(s): The pilot team will provide a secure SharePoint link for you to upload a copy of equipment purchase and installation invoice(s). The invoice should include the following:

  • Number of room heat pumps installed
  • Model numbers of the installed room heat pumps
  • Equipment cost information

The equipment monitoring will require that the pilot team install measuring device(s) (“meters”) onto the newly installed room heat pump for each tenant participating in equipment monitoring. This means that someone from the pilot team will need to access the tenant apartment to install the meters. The installation of the meter is non-invasive and will take roughly 1 to 2 hours. The room heat pump will plug directly to the meter and the meter will plug into the wall.

Once the meter is installed, tenants are free to use their room heat pumps for their heating and cooling needs. However, they must not unplug or otherwise alter the installed meter otherwise tenants may forfeit additional survey incentives.

Once the monitoring period ends (this will be in June/July of 2027 — specific dates will be communicated when it’s closer), the pilot team will uninstall the meter. This will be similar to the meter installation process and will take roughly 1 to 2 hours.

The pilot team will be collecting power usage, temperature, and humidity data with the meters.

The monitoring period will begin shortly after the room heat pump is installed in the tenant’s apartment/dwelling and will continue until June/July of 2027. The pilot team is planning to have all of the equipment meters removed by early July of 2027 but exact dates will be determined based on the site’s availability.

The pilot will be offering incentives to property owners for room heat pump purchases and installations. Additionally, there will be incentives available to tenants who receive a room heat pump upon completion of the pilot surveys, and property managers. For property owners or tenants who sign up to have their room heat pumps monitored, there will be additional incentives available upon completion of the pilot surveys. The incentives are as follows:

Without equipment monitoring

Up to $500 for property owners per room heat pump purchased and installed.

• Minimum of 10 room heat pumps per building and a maximum of 50 room heat pumps per building.

Up to $200 for tenants upon completion of the pilot’s user feedback surveys.

• Tenants are limited to one survey per household.

Up to $250 for building property managers.

With equipment monitoring

Up to $500 for property owners per room heat pump purchased and installed with equipment meters installed.

• Minimum of 5 room heat pumps with monitoring per building and a maximum of 20 room heat pumps with monitoring per building.

Up to $400 for tenants with meters installed on their room heat pumps upon completion of the pilot’s user feedback surveys.

• Tenants are limited to one survey per household.

Up to $250 for building property managers.

Incentives will be available on a first-come, first-serve basis; incentives will be limited per site.

Property owners will be responsible for any coordination and costs associated with equipment installation(s).

The maximum incentive a single site is eligible for is $25,000; however the pilot will determine incentive maximums on a case-by-case basis.

Property owners will receive their incentives payment by check once all equipment has been purchased and installed. You will receive your incentives once you provided the request information:

• Photos of the installed room heat pumps
• Tax forms
• Equipment invoice(s) that detail the number of room heat pumps installed, model numbers of the installed room heat pumps, and cost breakdown of installation.

Tenants will receive incentives via gift cards once they’ve completed all of the pilot surveys. Gift cards will be issued via email or a physical card.

Room heat pumps are similar to traditional portable or window air conditioners except that they provide both cooling and heating efficiently! Room heat pumps are a great way to improve occupant comfort without the costs, permits, or burdens of installing HVAC systems. With a room heat pump, all that’s needed is a 120-volt outlet and a suitable window or installation location, and it’s good to go!
